Privacy Policy

What we collect, what we don't, and how AI fits in.

The short version: When you request a quote, we receive what you put in the form — name, email, project details, any reference media you choose to send. The team uses it to scope your project and reply. No data is sold, no retargeting is run, and your photos and content are not fed into external AI training without written consent.

Who we are

Protocol 4 Pro is a service of P4 One LLC, a New Jersey limited liability company. When this policy says "we," "our," or "us," it refers to P4 One LLC operating the Protocol 4 Pro brand.

What we collect

Quote requests

  • Contact details — name, email, and anything else you choose to share in the message field.
  • Project details — budget band, timeline, format, and the type of deliverable you have in mind.
  • Reference media (optional) — links or files you send to describe the look and feel you want.

The quote form is processed through Netlify Forms. Submissions are routed to the team inbox and held in Netlify's submission log so a reply can be sent.

Project files you send us

  • Photos, logos, brand assets, video clips — anything you upload or send so the team can build your deliverables.
  • Written direction — scripts, captions, brand notes, voice guidelines.

Analytics (everyone)

  • Standard Google Analytics 4 data — pageviews, country, browser, referrer. No personal identifiers.

How we use it

  • To reply to your inquiry and scope a project.
  • To produce the deliverables you commissioned — including running your content through generative AI tools operated as part of our pipeline.
  • To keep a record of the project for invoicing, revisions, and internal portfolio reference (we will ask before featuring your work publicly).

Generative AI and your content

Some deliverables are produced with generative AI — that's the nature of the service. When you send photos, logos, or other reference media, we may run that content through AI image and video models to produce the final piece.

The rule: we do not submit your photos, brand assets, or finished deliverables to any third-party AI vendor for model training or public dataset use without your written consent. Vendor APIs are used in inference mode only — meaning the vendor generates output for your project and the input is not retained for training, to the extent the vendor's own terms allow.

Note that the AI vendors in our stack have their own privacy and data-handling policies. We pick vendors whose enterprise terms align with that rule, but a guarantee cannot be extended on behalf of a third party. If you have strict data-handling requirements, tell the team up front and vendor terms will be confirmed before production begins.

Retention

  • Quote form submissions — retained in Netlify for record-keeping. You can request deletion of a quote-form submission at any time.
  • Project files (your inputs) — held for the duration of the project plus a reasonable archive window so revisions can be made. You can request deletion of source files after final delivery.
  • Finished deliverables — archived so they can be re-supplied if you lose your copies.

What we don't do

  • We don't sell your data.
  • We don't retarget you with ads.
  • We don't share your content with anyone outside the production pipeline you commissioned.
  • We don't feed your content into external AI training datasets without written consent.
  • We don't follow up by email unless you started the conversation or you're an active client.

Third parties we use

  • Netlify (Netlify, Inc.) — hosts this site and processes quote-form submissions. Subject to Netlify's privacy policy.
  • Google Analytics 4 (Google LLC) — pageview analytics. You can block GA via your browser settings.
  • Generative AI vendors — used in inference mode to produce video and image deliverables. Specific vendors used on your project can be disclosed on request.
  • YouTube (Google LLC) — when a project calls for it, finished video deliverables may be hosted on YouTube as embedded previews. Standard YouTube terms apply once content is uploaded.

Cookies

Google Analytics 4 sets standard analytics cookies. You can block these via your browser settings without breaking the site. We don't set marketing or retargeting cookies.

Your rights

You can request access to, export of, or deletion of any data tied to your inquiry or project at any time. Reach the team and a reply will follow within a reasonable timeframe — typically a few business days. Some records (final invoices, completed deliverables retained for tax or warranty reasons) may be kept under separate retention rules even after a deletion request.

Do Not Track

Some browsers offer a “Do Not Track” (DNT) setting. Because there is no common industry standard for how DNT signals should be interpreted, we do not currently respond to them. Regardless of any DNT setting, we do not track you across third-party websites for advertising.

Children

Protocol 4 Pro is not directed to children under 13 and we don't knowingly collect data from them.

Updates

If we change this policy, the "Last updated" date at the top will move. Material changes that affect active clients will be communicated by email.
